This Fulfillment Policy outlines the expectations, procedures, and commitments of PCS Media, LLC/Loud Otter, LLC ("Company") in providing fractional Chief Marketing Officer (CMO) services to "Client" as detailed in the Marketing Agreement. The policy ensures transparency, efficiency, and client satisfaction in the delivery of contracted services.
1. Scope of Services Fulfillment
1.1 Initial Setup and Research Phase

Timeline: The Company will allocate up to 30 days from the agreement’s start date to establish a foundational presence across agreed-upon platforms.

Deliverables:

Market and competitor research to understand industry dynamics.
-
Development of branding guidelines, including logo, color schemes, typography, and tone of voice.

Gathering assets required for design and strategy implementation.
-
Preliminary design and strategy proposals for Client’s review.

1.2 Execution and Design Phase

Deliverables:
-
Creation of a complete digital branding suite, including logos, social media covers, and web assets.
-
Social media strategy tailored to Client’s target audience and goals.
-
Design and launch of a responsive and user-friendly website aligned with branding guidelines and optimized for engagement.

1.3 Social Media Management Phase

Deliverables:
-
Active promotion of Client’s content across a minimum of three social media platforms.
-
Consistent management of business pages, including daily interactions (likes, comments, and shares).

Weekly performance tracking and adjustments to enhance reach and engagement.
-
Monthly reports summarizing analytics, key metrics, and actionable insights.

1.4 Advertising Campaigns

Deliverables:

Design, implementation, and optimization of ad campaigns.
-
Management of ad budgets with proper documentation and transparency.

Regular updates on ad performance and ROI metrics.

1.5 Ongoing Support

Deliverables:
-
Maintenance of branding consistency across all platforms.
-
Quarterly strategy reviews and revisions based on performance data.
-
Availability for consultations to address Client concerns or suggestions.

2. Timelines and Milestones
-
Initial branding and research deliverables to be completed within 30 days of agreement start date.

Social media and advertising campaigns will begin immediately following the research phase and continue throughout the 12-month agreement.

Monthly reports will be delivered by the 5th of the following month.
3. Quality Assurance

The Company commits to maintaining the highest standards in design, content creation, and strategic implementation.

All deliverables will undergo internal reviews for accuracy, relevance, and alignment with Client’s goals before submission.
4. Client Responsibilities
To ensure timely and effective service delivery, the Client agrees to:

Provide all necessary access credentials for social media and digital platforms within 7 days of agreement execution.

Respond to Company requests for approvals or additional information within 3 business days.
-
Fund ad campaigns per the agreed-upon budget promptly.
5. Amendments and Corrections

Mid-course corrections and additional requests will be accommodated at no extra cost, provided they align with the original agreement’s scope.

Requests outside the original scope may be subject to separate agreements.
6. Performance Metrics and Reporting

Success will be measured using agreed-upon KPIs, such as:
-
Social media engagement rates.
-
Website traffic and conversions.
-
Ad campaign ROI.
-
Overall growth in the Client’s digital footprint.

7. Conflict Resolution
-
Any disputes or dissatisfaction with deliverables will be addressed promptly. The Client must notify the Company in writing, detailing specific concerns.

The Company will provide corrections or revisions within 7 business days of receiving such notice.
8. Service Limitations
-
The Company will not be responsible for results adversely impacted by factors outside its control, such as:
-
Algorithm changes by social media platforms.
-
Insufficient ad budgets provided by the Client.
-
Delays caused by the Client’s lack of cooperation or timely responses.
-
9. Termination and Refunds
-
As stipulated in the Marketing Agreement, all payments are non-refundable.

In case of contract termination by the Client, the remaining balance for the contract term must be paid in full within 30 days.
